Zoom AI Notetaker Integration
Carta CRM's Zoom integration automatically imports your Zoom AI Companion meeting summaries into Carta CRM as notes, and links each summary to the matching contacts and deals by attendee email. It is read-only: it reads post-meeting summaries via the Zoom API and never joins or records live meetings.
The app requests three read-only scopes: meeting:read:list_summaries:admin, meeting:read:summary:admin, and meeting:read:list_past_participants:admin.
Prerequisites
- A Carta CRM account with access to Settings -> Integrations.
- A Zoom account where the connecting user is an owner or admin (the integration uses account-level admin scopes).
- Zoom AI Companion enabled, with meeting summaries being generated.
- The connecting Zoom user's role must include:
- Account Management -> View "Meeting summary with AI Companion"
- User and Permission Management -> View "Users"
Adding the app
- Sign in to Carta CRM.
- Go to Settings -> AI Notetakers.
- On the Zoom card, click Configure and "Connect with Zoom".
- You are redirected to Zoom. Sign in as an account owner/admin and approve the requested read-only scopes.
- Zoom returns you to Carta CRM on settings dialog. Zoom now shows as Connected.
Your meeting summaries begin syncing automatically. You can also trigger an immediate sync with Sync now on the Zoom card. If the connection fails, see Troubleshooting below.
Using the app
Once connected, the integration:
- Imports meeting summaries - each Zoom AI Companion summary is saved as a note in Carta CRM, including the overview, structured detail sections, next steps, and a link back to the Zoom summary document.
- Links summaries to records - attendees whose email matches a Carta CRM contact are linked automatically, so the note appears on the related contact and deal records.
- Syncs on a schedule - new summaries are imported automatically; use Sync now to import on demand.

Notes on behavior:
- Attendees without an email address (e.g. external guests) cannot be matched and are skipped. This is expected Zoom API behavior.
- Meetings that have no AI Companion summary are skipped.
Removing the app
You can disconnect in two places.
From Carta CRM (recommended)
- Go to Settings -> AI Notetakers.
- On the Zoom card, click Disconnect.
This immediately deletes the stored Zoom access and refresh tokens from Carta and stops all syncing.
From Zoom
- Sign in to the Zoom App Marketplace at zoom.us.
- Go to Manage -> Installed Apps (or Settings -> Installed Apps).
- Find Carta CRM and click Disconnect.
Zoom revokes the authorization, so Carta can no longer call any Zoom API on your behalf and no further data is imported.
What happens to your data
- Authorization tokens - the encrypted Zoom access and refresh tokens are deleted from Carta the moment you click Disconnect in Carta CRM. If you remove the app from Zoom first, Zoom invalidates the tokens immediately; clicking Disconnect in Carta CRM then purges the stored (now unusable) token record.
- Imported meeting summaries - summaries already imported remain in your Carta CRM as your own notes. You can delete them in Carta at any time, like any other note.
- Carta does not store your Zoom password, meeting recordings, or Zoom profile data.
Implications of de-authorization
- Syncing stops; no new meeting summaries are imported.
- Previously imported summaries are unaffected and stay in your CRM until you delete them.
Troubleshooting
- "You don't have the required permissions" when connecting - the Zoom user must be an account owner/admin and have the two view permissions listed under Prerequisites. Ask your Zoom account admin to grant them.
- No summaries appear after connecting - confirm AI Companion is enabled for the account and that at least one past meeting has a generated summary, then click Sync now.
- Some attendees aren't linked - only attendees whose Zoom email matches a Carta CRM contact are linked; guests without an email are skipped.
